Senior Professional, Executive Administrator

Responsibilities
You serve as a trusted administrative partner to senior executives, providing comprehensive support including complex calendar management, prioritization of competing requests, coordination of meetings across multiple time zones
You manage executive business travel end-to-end, coordinating flights, lodging, transportation, itineraries, and accurate expense report preparation and submission
You handle sensitive and confidential information with the highest level of discretion, exercising sound judgment and professionalism in all interactions
You take initiative to anticipate leadership needs, proactively identifying and resolving administrative, scheduling, and logistical challenges to enable executive focus and effectiveness
You elevate employee experience and onsite operations by supporting All Hands meetings, employee events, ad hoc administrative needs, and core office operations, such as supply management, shipping and receiving, visitor coordination, and serving as a point of contact for office-related inquiries
Qualification
Required
Ability to work onsite five days per week at the client office in San Jose, CA
5+ years of experience as an Executive Administrator, Executive Assistant, or similar role supporting senior leadership teams
Strong organizational, time management, and multitasking skills, with the ability to manage competing priorities effectively
Proven ability to handle confidential and sensitive information with professionalism, discretion, and sound judgment
Effective problem-solving skills and strong attention to details
Excellent written and verbal communication skills
Excellent collaboration skills, with the ability to navigate ambiguity independently in a fast-paced, global team environment
Strong proficiency with standard office tools, including calendar systems, email platforms, travel booking tools, and expense reporting systems
Preferred
Experience supporting multiple leaders simultaneously is a plus
