Operations Lead Receptionist

Responsibilities
Operate a multi-line phone system to receive and correctly route incoming and outgoing calls
Take and distribute clear, accurate messages promptly
Greet visitors professionally and determine the nature of their visit
Issue visitor passes and maintain visitor logs in compliance with Abbott Diabetes Care Visitor Policy (DOC00171)
Notify the appropriate employee or department of visitor arrival or escort visitors as needed
Follow protocol for expected and unexpected government agency visits
Respond to routine inquiries while ensuring compliance with company guidelines on what information can be shared
Provide general guidance to visitors and callers in a courteous and helpful manner
Schedule and maintain conference room bookings using Abbott’s internal systems
Coordinate catering for meetings
Prepare documents, type correspondence, and assist with clerical tasks
Organize and distribute incoming mail; manage outgoing mail and courier packages
Manage ADC Reception and Facilities Helpdesk in boxes and triage work order-related requests
Submit and manage work order requests via Maximo and follow up as necessary
Provide status updates on work orders via biweekly meetings with managers
Generate facility supply orders and confirm receipt via Ariba portal
Maintain the Reception Manual
Train backup receptionists as appropriate
Provide Facilities administrative support, including site communications, scheduling events, and managing ergonomic supply orders and inventory systems
Other projects and duties as assigned
Complete all mandatory training on time as required by Abbott policies and procedures
Adhere to company standards for safety, confidentiality, and compliance
Comply with U.S. Food and Drug Administration (FDA) regulations, other regulatory requirements, Company policies, operating procedures, processes, and task assignments
Work closely with team members, employees, and vendors to ensure smooth operations and excellent service delivery
Support cross-functional communication and assist with coordination of services when needed
Maintain positive and cooperative communications and collaboration with all levels of employees, customers, contractors, and vendors
Support all Company initiatives as identified by management and in support of Operations, Environmental Health and Safety, Occupational Health, and other departments
Qualification
Required
High school diploma or equivalent
Previous experience as a receptionist or in a customer-facing role
Strong verbal and written communication skills
Proficient in basic computer skills and office software (e.g., Microsoft Office Suite, email, and scheduling tools)
Comfortable using technology and able to learn new systems quickly
Strong computer literacy, including data entry and navigating internal systems
Excellent organizational skills and attention to detail
Ability to manage multiple tasks in a fast-paced environment
