Inside Sales Specialist I

The Inside Sales Specialist I will support Strategic Account Partners by managing the Order-to-Cash cycle, ensuring accurate order processing, and facilitating effective communication across various internal teams.

Responsibilities
Account Communication & Administrative Support
Serve as the primary administrative support contact for all Strategic Account Partners (Dealers, Rental, Utility, Arbor) for order status, equipment configurations, model options, and delivery timing
Generate and distribute regular customer order status reports and maintain accurate machine status spreadsheets, ensuring total transparency for diverse ordering channels
Proactively support our partners' teams with day-to-day questions and special requests, escalating complex issues to the appropriate Regional Sales Manager or Department Head for timely resolution
Partner Onboarding Administration: Assist Regional Sales Managers by gathering and distributing materials for new partner onboarding and managing scheduling/logistics
Order Processing, Logistics & Inventory Communication
Own the order lifecycle execution end-to-end for all accounts: PO receipt, order entry, configuration validation, product allocation, and final delivery coordination with the delivery team
Inventory Communication & Execution: Monitor inventory levels and communicate current stock availability and lead times to the sales team and customers
Execute inventory allocation decisions made by the Regional Sales Manager & Sales Operations Manager
Monitor incoming shipments and coordinate PDI (Pre-Delivery Inspection) scheduling with the PDI/Delivery department based on the priority list provided by the Regional Sales Manager & Sales Operations Manager
Communicate all delivery details and changes to customers and coordinate with the Delivery department, ensuring applicable payments are documented
Financial Administration & Support
Manage pricing, discounts, and special pricing programs in line with account agreements and promotions, applying the correct structure for the appropriate sales channel
Oversee billing and invoicing: generate invoices for orders and send to appropriate contacts
Flagging Credit Issues: Review account balances and credit terms and flag any issues or concerns to the Account Manager or Accounting/Finance team for decision on releasing units for delivery or placing a hold
Collect and post payments on prepaid terms, accurately entering and applying payments in ERP system, coordinating with Accounting. Administrative Support for Floorplan: Assist the Account Manager by collecting and organizing documentation required for floorplan approval and submitting invoices as directed
Sales Visibility & CRM Support
Sales Reporting Support: Run standard reports and dashboards in Salesforce (and related tools) and distribute them to the management team
Set up new accounts (Dealers, Rental, Utility, Arbor) in ERP and Salesforce and assist with maintaining accurate contact data and keeping data up to date and clean
Portal Feedback & Testing: Gather user feedback on the customer portal and assist with testing new features as needed
Cross-Functional Collaboration
Liaise with Purchasing on special-order equipment and lead times
Coordinate closely with Accounting for cash application and reconciliation related to customer payments
Attend weekly meetings as needed
Participate in select trade shows as needed
Back up the Regional Sales Manager for administrative tasks as needed
Qualification
Required
Associate's or Bachelor's degree in Business, Sales, Marketing, or related field, or equivalent experience
1–3 years of experience in sales support, customer service, or high-volume transactional roles
1+ years' experience with CRM technology (e.g., Salesforce, HubSpot, Zoho); Salesforce strongly preferred
Hands-on experience with ERP or accounting systems (e.g., Sage, Accounting Seed, Dynamics, SAP preferred)
Strong proficiency with Excel and/or Google Sheets and general reporting tools
Working knowledge of invoicing, order entry, and payment processing
Highly organized, detail-oriented, and able to manage varied processes and multiple priorities and deadlines
Strong interpersonal and communication skills, both verbal and written, with the ability to manage complex internal and external conversations
Ability to work independently and collaboratively across sales, operations, and finance teams
Preferred
Experience in the heavy equipment, aerial work platform, or similar industrial equipment industry
Experience supporting a diverse B2B customer base (e.g., dealers, national accounts, large end-users)
