Executive Assistant

Confidential company is seeking an Executive Assistant to manage and coordinate executive workflows. The role involves overseeing calendar management, leading cross-functional projects, and supporting the sales process while maintaining discretion and professionalism.

Responsibilities

Manage and coordinate executive workflows, ensuring priorities and strategic initiatives are executed efficiently
Oversee calendar management with an understanding of business goals, key stakeholders, and priorities
Lead and track cross-functional projects, ensuring deadlines, deliverables, and follow-ups are consistently met
Prepare high-quality presentations, meeting materials, and summaries with clear action points
Coordinate complex travel and logistics, both domestic and international
Act as a trusted liaison, managing communications and ensuring effective information flow across teams
Support elements of the sales process, including outreach, follow-ups, or client preparation as needed
Assist with internal and external events — planning, logistics, and execution
Build strong relationships across the organization while maintaining discretion and professionalism

Required

8+ years of experience in executive support or project management, preferably supporting C-level executives in a fast-paced or global setting
Proven ability to manage complex projects and competing priorities independently
Comfortable contributing to sales or business development activities (e.g., outreach, client coordination, research)
Highly organized, proactive, and adaptable with strong problem-solving skills
Excellent written and verbal communication skills with a professional presence
Strong judgment and ability to handle sensitive information with utmost discretion
Advanced proficiency in Microsoft Office suite (Outlook, Excel, PowerPoint, Word)
Bachelor's degree in business administration or a related field (or equivalent experience)
Willingness to work up to four days per week onsite in our Jersey City office
