Executive Assistant

Responsibilities

Work hours prescribed and any additional hours deemed necessary for the responsibilities assigned
Manage daily administrative operations, including scheduling meetings, coordinating calendars, preparing agendas, drafting correspondence, and ensuring timely follow-ups
Serve as a shared resource for the leadership team, providing assistance on projects and administrative tasks across supervised functions
Prepare, edit, and manage documents, presentations, and reports for internal and external audiences
Organize and facilitate meetings, including leadership team sessions, board meetings, and strategic planning retreats, ensuring all materials are prepared, logistics are managed, and action items are tracked
Act as a liaison between leadership, internal departments, and external stakeholders to ensure timely communication and resolution of inquiries
Assist with project management tasks, including tracking deadlines, monitoring progress, and ensuring deliverables are completed
Support the preparation and organization of reports related to grants, compliance, performance improvement, and other key initiatives
Handle sensitive information with discretion and professionalism, ensuring confidentiality in all matters
Perform all responsibilities in compliance with the mission, vision, values, and expectations of Rosecrance
Deliver exceptional customer service consistently to every customer
Serve as a role model for other staff, clients and customers and demonstrate positive guest relations in representing Rosecrance
Assume other related responsibilities as assigned by leadership

Required

High School Diploma required
Demonstrated experience as an Executive Assistant, preferably supporting executives in a healthcare or nonprofit organization
Exceptional organizational, time management, and multitasking skills
Strong written and verbal communication abilities
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools
High level of professionalism, discretion, and adaptability
Ability to work both independently and collaboratively in a fast-paced environment
Belief in the mission and vision of Rosecrance

Preferred

Bachelor's Degree in a related field of study
