Responsibilities

Serve as the primary on-site administrative support for University Relations & Development by coordinating daily operations, workspace readiness, parking, mail and deliveries, office equipment and supplies, and providing support for meetings, and luncheons including setup, food pickup, troubleshooting, and breakdown
Support fiscal operations including but limited to coordinating statewide and local travel and process travel, hospitality, gift, and staff reimbursement requests in compliance with CSU policies, reviewing documentation for accuracy prior to Assistant Vice President approval
Provide administrative support to senior leadership
Coordinate division-wide space and facilities activities, including office moves, remodels, furniture and equipment purchases, work orders, and urgent on-site issue response in collaboration with campus partners

Required

Equivalent to four years of administrative support experience required
Driver license required
Strong verbal and written communication skills to interact professionally with diverse stakeholders, including faculty, staff, students, visitors, vendors, and executive leadership
Proficient in Microsoft Office and database systems for preparing correspondence, reports, and meeting materials
Ability to quickly learn new platforms to support scheduling and administrative workflows
Highly organized with excellent time management skills
Ability to prioritize multiple tasks in a fast-paced environment while ensuring accuracy and attention to detail
Demonstrate the ability to interpret and apply policies, resolve operational issues in real time, and provide responsive, solution-focused customer service
Ability to communicate with an ethnically and culturally diverse campus community
Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures
Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a 'vision of excellence.'
Heavy work - Job involves lifting more than 40 pounds. Approximately half of the incumbent's time will be spent walking, standing, squatting, kneeling, or climbing
