Tech Support & Training Specialist
The Kansas Department of Health and Environment is seeking a Tech Support & Training Specialist to provide technical assistance and training on the electronic registration system. Responsibilities
Provides technical support in operating/navigating the electronic registration system by troubleshooting, identifying, and resolving problems to all the different users (funeral home staff, physicians, coroners, hospital birth clerks, district court clerks, attorneys) with the electronic registration system
Applies knowledge of all the different workflow processes, computer software, hardware, and procedures to solve problems
Places new users on the electronic registration system following office procedures
Promotes participation in the use of the electronic registration system to users not currently utilizing the electronic registration system by attending conferences and giving presentations to various organizations
Assists in coordinating testing activities of electronic registration system with the Registration Chief and other Vital Statistics staff to ensure system upgrades are complete and accurate
Provides proper input and feedback to the Registration Chief on any inadequacies or issues with VSIIS
Assists in providing solutions to improve and increase operating efficiency of VSIIS
Participates in meetings to discuss changes/additions to system functionality, including participating in JAD sessions with the vendor and system users
Plan, organize, and conduct training and training activities on-site and off-site for upgrades or changes in the web-based Vital Statistics Information System working in correlation with the Registration Chief and Field Representatives (Technical Support and Training Specialist)
Acquire appropriate training facilities, ensuring adequate equipment is available and set up training schedule
Coordinate the dates/times with facilities, attendees, Registration Chief, and Field Representatives and provide notification to external users regarding regional and one-on-one training activities
Coordinate training needs ensuring travel arrangements, equipment, and materials are in place
Preparing step-by-step procedural manuals for the electronic registration system using knowledge of the system, state statutes and regulations, and office policies
Maintain and update procedural manuals due to changes in state statutes and regulations, office policies or technological processes
Prepare step-by-step training material using PowerPoint to provide new users requesting access to use the electronic registering system to file vital records
Prepare and update training videos that have will be or have been created for medical certifiers on how to complete a death record using the electronic registering system
Perform other duties as assigned including serving as a member of the KDHE Disaster Response Team as needed to assure the agency's public and environmental health response is adequately staffed during and immediately following natural and/or manmade disasters, infectious disease outbreaks, and/or acts of terrorism
Responsible for reading and implementing the KDHE 2023-2026 Strategic Plan
Reviewing the Core Values, Priority Areas, Impact Statement and assisting to complete the Strategic Plan Summary and assure Goals are met
Qualification
Required
High School, GED
Valid Driver's License - Incumbent is required to have and maintain a valid driver's license when operating a state vehicle, a private vehicle, or a rental vehicle for the benefit of the State
Six months of experience in planning, implementing and monitoring activities relevant to the agency's programs
In accordance with K.S.A. 65-2402(b), any person offered a position of employment in the Office of Vital Statistics will be required to be fingerprinted and to submit to a state and national criminal history record check for the purpose of identification verification and the determination of the applicant's eligibility to perform tasks within the Office of Vital Statistics
A valid Kansas Tax Clearance Certificate is a condition of employment for all employees of the State of Kansas. Applicants (including non-residents) who receive a formal job offer for a State job, are required to obtain a valid Tax Clearance within ten (10) days of the job offer
