Senior Administrative Specialist
Larimer County Department of Health and Environment is seeking a highly motivated Senior Administrative Specialist to lead the internal recruiting and hiring process while providing high-level administrative support to senior leadership. Responsibilities
Lead the internal recruiting and hiring process, including creating job requisitions, posting internal opportunities, tracking applicants, coordinating interviews, and supporting managers in selection decisions in compliance with Larimer County HR policies
Provide guidance and supervision to the Culture and Engagement Specialist, ensuring alignment and coordination of employee engagement initiatives, training programs (including systems support with the Office of Communication and Technology), onboarding, staff orientation, and department events. Advance programs that strengthen workplace culture and support continuous staff development
Facilitate or co-facilitate internal work groups, team meetings, and cross-departmental projects to promote collaboration, communication, and alignment with departmental goals
Provide high-level administrative support to senior leadership, including the Deputy Public Health and Environmental Health Director, by managing calendars, scheduling meetings, preparing reports, coordinating communications, and supporting special projects
Coordinate internship inquiries and student placement processes; serve as the initial point of contact for prospective interns and students, and ensure a smooth onboarding and engagement experience
Serve as a central point of contact for staff and leadership, ensuring smooth workflow, effective communication, and consistent implementation of departmental policies and procedures
Oversee administrative operations, including document preparation, data management, customer service, and administrative processes; recommend, develop, and implement administrative policies and procedures; interpret and communicate County and departmental policies, rules, and regulations; conduct research and route complex inquiries appropriately
Establish, maintain, and adjust appointments, activity calendars, and work schedules for individuals and work groups to support operational efficiency and leadership priorities
Qualification
Required
Four (4) years of experience in a directly related field or in the performance of similar office administrative duties and responsibilities required
Supervisory principles, procedures, and methods including selection, training, discipline, and evaluation
Routine software and business applications including, but not limited to, word processing, spreadsheets, presentation software, and databases
Communicate clearly and concisely, both verbally and in writing and follow written and verbal instructions and organize material and present information clearly and concisely in verbal and written form
Read and comprehend department and County rules, regulations, policies, and standard operating procedures
Establish and maintain effective working relationships with other County employees, representatives of other agencies and organizations, and members of the community
Regular, predictable attendance
English language, proper grammar, punctuation, and spelling in other oral and written communication
Perform duties independently without close supervision
Exceptional organizational skills and time management skills; being able to anticipate potential barriers and find solutions with confidence
Capable of adapting to changing priorities and skilled in critical thinking
Collaborative and adaptive to working with multiple leadership styles and with partners
