Responsibilities

Answer and route calls for the main phone line
Greet and assist in-person visitors and vendors; ensure proper sign-in and badging
Arrange tours and meetings for internal and external visitors
Manage facility maintenance requests, repairs, and supply orders; proactively identify areas needing attention
Coordinate with janitorial services, lab uniform providers, and other routine maintenance vendors
Complete work permits for contractors, ensure PPE compliance, and verify high-visibility vests are worn outdoors
Oversee snack, cleaning, and office supply inventory and purchasing
Handle basic meeting room setup for video conferences (MS Teams, cameras, monitors, speakers, microphones)
Manage incoming and outgoing shipments; notify recipients and deliver packages as needed
Support onboarding by coordinating new hire safety and screening documentation
Administer safety training videos
Help ensure all safety documentation and processes remain up to date

Required

High school diploma or equivalent required
1+ years' experience in administrative or facility support
Fluent in spoken and written English
Strong organizational and communication skills; able to manage multiple priorities
Reliable, professional, and team oriented
Proficient with Microsoft Office (Word, Excel, Outlook) and MS Teams
Detail-oriented with a good follow-through
Comfortable working independently while supporting a diverse team

Preferred

Associate or bachelor degree preferred
