Responsibilities

Provide direct administrative support to the Chief of Staff and COO team
Manage complex calendars, including prioritizing meeting requests, coordinating high-level appointments, and ensuring alignment with Mayor’s priorities
Draft, proofread, and edit correspondence, memos, talking points, and briefing documents
Coordinate travel logistics, reimbursements, and expense processing
Serve as a hub for communication across the Mayor’s Office, triaging inquiries, routing information, and ensuring timely follow-up
Support the flow of materials for the Mayor’s schedule, including prep materials, briefing memos, and cross-department documentation
Assist with project tracking, internal workflows, and deadline management for the CoS and COO team
Help prepare agendas, notes, and action summaries for internal meetings
Serve as a professional, welcoming point of contact for internal and external partners—including city agencies, elected officials, community groups, and the public
Coordinate with departments across the city to gather information, track requests, and ensure operational alignment
Support preparation and logistics for meetings, events, and press-related activities
Maintain and improve internal administrative systems, including digital filing, project trackers, and communication workflows
Support implementation of office-wide processes and Standard Operating Procedures

Required

Education requirement: Bachelor's Degree
Experience Requirement: Three (3) years of experience administering business operations or operational programs and/or assisting professional/management staff with administrative or operational functions
Education/Experience Equivalency: One (1) year of the appropriate type and level of experience may be substituted for each required year of post-high school education. Additional appropriate education may be substituted for the minimum experience requirements
Licensure/Certifications: None

Preferred

Political awareness of Denver's structures, policies, priorities, and political dynamics and an understanding of the nuances of working in an elected official's office
Experience maintaining strict confidentiality of sensitive and privileged data
Demonstrated loyalty, honesty, and integrity
Familiarity with municipal government structures
Knowledge of government relations
Consistent reliability and flexibility
Top notch proficiency in problem solving and conflict resolution
A diplomatic and amicable demeanor
Strong written and verbal communication skills
