Office Manager
Confidential Jobs is seeking an Office Manager to oversee the daily operations of their office in Los Angeles. The role focuses on maintaining a clean and organized work environment, managing supplies and inventory, and ensuring a positive employee experience through events and support.
Responsibilities
Maintain cleanliness and organization of the office, kitchen, and common areas
Address issues immediately and coordinate vendors and building management
Manage parking passes, elevator access, and building communication
Support physical office needs, including lifting and moving items up to 40 lbs
Order and manage office supplies, snacks, and kitchen inventory
Coordinate weekly food orders and maintain kitchen readiness
Track inventory and restock proactively
Plan and execute monthly office lunches and employee events
Coordinate vendors, catering, setup, breakdown, and cleanup
Create a welcoming and well-run in-office experience for employees and guests
Greet visitors and manage incoming calls
Maintain shared inboxes related to vendors and recruiting
Sort and manage mail and shipments (FedEx, UPS, USPS)
Support interview logistics and on-site candidate experience
Coordinate office setup for new hires, including equipment and workspace
Support offboarding logistics and equipment returns
Maintain accurate employee and equipment records
Maintain office records, vendor lists, and inventory trackers
Support basic IT coordination and troubleshooting with vendors
Assist with process improvements and ad hoc operational projects
Qualification
Required
3+ years of experience as an Office Manager, Facilities Coordinator, or similar role
Strong sense of ownership and attention to detail
Comfortable with hands-on and physical work
Highly organized and reliable
Strong communication and service mindset
Able to manage multiple priorities in a fast-paced environment
Proficiency in Microsoft Office Suite, Google Workspace, and project management tools
