Responsibilities
Answer incoming phones for Knoxville, Atlanta, and Nashville offices
Provide backup support on incoming phone lines as needed
Manage web leads for all locations, including follow-ups and project details updates
Build new deal contacts to support Sales Team schedule
Provide installation schedule reminders for Knoxville, Atlanta, and Nashville
Schedule jobs for Sales Team from call-ins and web leads
Maintain general office organization and cleanliness
Stage film for jobs and check in film deliveries
Register film warranties and file warranty claims with manufacturers
Ship film and materials to other branches as needed
Manage monthly inventory counts across all three locations
Handle monthly film exception reporting
Reconcile weekly payment reports for Knoxville, Atlanta, and Nashville (warranty purposes)
Process daily commissions for all three locations: Knoxville, Atlanta, and Nashville
Complete daily billing for all locations as needed
Prepare job closeout paperwork (e.g., 1-year warranty letters, care instructions)
Conduct vehicle inspections
Assist installers with scheduling routine vehicle maintenance
Support installers with scheduling and coordination as needed
Manage TextUs communication for customer updates and reminders
Order product samples, manage sample inventory, and mail or distribute as needed
Order office supplies and snacks for the Knoxville office
Distribute quarterly swag to branch teams
Maintain a high level of productivity and customer service by stepping into Ops Manager duties as required
Qualification
Required
Responsive and friendly customer service
Effective organization of multiple concurrent jobs
Strong written and verbal communication skills
Familiarity working with online tools like g-suite
Preferred
Knowledge of window film is a plus but training will be provided
CRM experience is a plus
Sales experience is a plus
