Staffing Coordinator - Gastroenterology - 137908

The Staffing Coordinator provides essential operational and administrative support to the GI/Hepatology division by ensuring accurate staffing schedules and reliable timekeeping processes, while also managing various administrative duties to maintain clinic efficiency.

Responsibilities
Ensuring accurate staffing schedules, reliable timekeeping processes, and timely coordination of facility and service requests
Developing, maintaining, and updating staff schedules across multiple clinic locations
Updating Outlook and Epic schedules
Tracking schedule changes
Communicating staffing updates to leadership in a timely manner
Overseeing timekeeping activities by verifying employee timecards
Identifying discrepancies
Submitting corrections
Ensuring compliance with institutional timekeeping policies
Monitoring attendance
Partnering with supervisors to resolve issues
Ensuring accurate submission of hours for payroll processing
Managing a broad range of administrative duties
Submitting and tracking Facilities service requests
Placing ServiceNow tickets for equipment, IT, or access needs
Coordinating workspace or workstation updates
Supporting onboarding logistics
Assisting with supply or equipment coordination
Performing other administrative tasks as assigned to ensure smooth clinic operations
Working closely with Operations Leadership to support daily operational needs
Implementing staffing workflows
Assisting with department-wide initiatives
Qualification
Required
Three (3) years recent administrative experience in a GI/Hepatology division (or similar healthcare environment)
Demonstrated excellence in customer service and interpersonal communication skills
Possess effective time management skills
Proficient with MS Office Suite (Word, Excel, PowerPoint, Outlook)
Highly detail-oriented
Must possess the ability to work effectively and equitably with others
Preferred
Medical terminology training and/or certificate
Database management experience. Working knowledge of Epic/OpTime system, and ORSOS
Experience with OR equipment and patient transport
