Executive Assistant and Receptionist
Ennoble Care is a respected provider of community-based primary, palliative, and hospice care services. The Executive Assistant provides high-level administrative support to the C-Suite team, ensuring seamless day-to-day operations and managing multiple priorities in a fast-paced healthcare environment.

Responsibilities
Manage complex calendars for multiple executives, prioritizing and scheduling meetings
Coordinate internal and external meetings, including room bookings and video conference setup
Anticipate scheduling conflicts and proactively resolve them
Prepare executives for meetings with agendas, briefing materials, and relevant documents
Attend key meetings and take detailed notes
Track action items and follow up with responsible parties to ensure completion
Prepare meeting recaps and distribute to stakeholders
Maintain action item tracker and provide regular status updates to executives
Book travel arrangements including flights, hotels, rental cars, and ground transportation
Prepare detailed travel itineraries
Process and reconcile expense reports in a timely manner
Ensure travel and expenses comply with company policies
Draft, proofread, and edit emails, memos, and presentations on behalf of executives
Serve as a liaison between executives and internal/external stakeholders
Handle confidential and sensitive information with discretion
Screen and prioritize incoming communications
Prepare documents, reports, and presentations
Maintain organized filing systems (digital and physical)
Coordinate with other departments on cross-functional initiatives
Handle ad-hoc projects and requests as needed
Serve as the welcoming presence at the front of the Arlington office
Greet visitors, clients, and vendors
Receive and manage packages and deliveries
Coordinate visitor access with building management
Maintain a professional and organized reception area
Qualification
Required
3+ years of experience as an Executive Assistant supporting senior leadership or C-Suite executives
Exceptional organizational skills and attention to detail
Strong written and verbal communication skills
Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Experience managing complex calendars across multiple executives
Experience booking travel and processing expense reports
Ability to handle confidential information with discretion and professionalism
Proactive mindset with ability to anticipate needs and solve problems independently
Ability to work in-office in Arlington, VA
Preferred
Experience at a management consulting firm (McKinsey, Bain, BCG, or similar)
Experience in healthcare, professional services, or fast-paced growth environments
Experience supporting multiple executives simultaneously
Familiarity with project management tools (Asana, Monday, etc.)
Experience with virtual meeting platforms (Zoom, Teams, Google Meet)
Notary public certification or willingness to obtain
