Administrative Generalist

HQ Platinum is seeking a proactive and highly organized Administrative Generalist to support day-to-day operations and ensure smooth internal processes. This role provides cross-functional administrative support and serves as a go-to problem solver for the team.

Human Resources

Responsibilities

Manage calendars, meetings, agendas, minutes, and action items
Coordinate travel arrangements, expense reports, and reimbursements
Handle office operations and vendor coordination, including supplies, equipment, facilities, mail, and shipping
Support HR operations, including onboarding/offboarding checklists, employee records, and HRIS updates
Assist Finance processes, such as invoice processing, purchase orders, and basic reconciliations
Draft and proofread internal communications, SOPs, presentations, and documentation
Maintain trackers, shared drives, and generate basic reports or dashboards
Ensure compliance with confidentiality, data protection, and security procedures
Support small projects and initiatives (events, office moves, policy rollouts)

Required

2+ years of experience in administrative, operations, or office support roles
Strong organizational skills with the ability to manage multiple priorities
Clear written and verbal communication skills in English
Proficiency with Google Workspace or Microsoft 365 (Docs/Sheets/Slides, Outlook/Excel/PowerPoint)
Experience using calendar tools, expense platforms, and collaboration tools (Slack/Teams, Zoom/Meet)
High level of discretion and confidentiality
Service-oriented mindset with strong problem-solving skills

Preferred

Spanish preferred
Experience with HRIS systems (Rippling, BambooHR, Workday)
Familiarity with project or ticketing tools (Jira, Asana, Notion)
Basic Excel or Google Sheets skills (lookups, pivot tables)
Experience coordinating internal events or initiatives
