Responsibilities

Handle day-to-day activities and submit multi-state and multi-operational licenses on a daily, monthly, quarterly and yearly basis for city, county, state, fuel, tobacco and other municipalities
Maintain and ensure compliance with organization policies and enforcement officers in regard to licensing for city, county, state, fuel, tobacco and other municipalities
Prepare and create databases to ensure all aspects of licensing are tracked and up to date
Work with the legal department and external vendors on acquisitions and build out of new construction to ensure the licensing is set up correctly and timely to maintain opening schedule
Perform reconciliations of data to ensure compliance with all areas of licensing noted above
Collaborate with other departments (accounting, treasury, compliance, legal) to ensure licensing is accurate and up to date and the fees are posted in the proper financial account
Conduct detailed analysis and provide recommendations or improvements to management
Assist in the preparation of forecasting for license expenses
Participate in internal and external audits, providing necessary information and answering queries
Stay up to date with industry trends and provide guidance on licensing legislation
Provide support to Legal and Compliance Departments, as well as support and assist in research and analysis of routine licensing issues
Develop and maintain knowledge of relevant legislation, regulations, and developments in various jurisdictions
Coordinate with Legal and Compliance Departments in preparing and submitting notifications, reports, returns and applications, as required
Assist with research, review, and interpretation of existing and pending laws and regulations that may affect existing and future outlets
Ensure all departmental documents and activities are performed in compliance with applicable laws, regulations, policies and procedures as applicable to this position, including completion of required compliance training
Understand codes, policies and procedures related to the regulated and privileged licensing processes, to business owners
Review existing business license items and related material for completeness, accuracy and compliance with codes and regulations
Track changes in ownership or business location, sale or closure of businesses, and other changes to the license documentation
Compile statistical or other reports regarding license activities
Maintain on-going communications with local, state and federal regulatory agencies to coordinate and resolve licensing issues or investigations

Required

Bachelor's degree in accounting, Finance or related field
Minimum of 5 years of experience in licensing, compliance or related role and/or experience
Prior experience in larger complex, multi-jurisdiction and multi-licensed company environment is required
Proficient with accounting software and Microsoft Office Suite, particularly strong in Excel
Ability to organize, submit and maintain large amounts of data to ensure zero late fees
Strong interpersonal and communication skills
Exceptional problem-solving skills and attention to detail
Ability to meet deadlines and manage multiple priorities
Experience in mentoring and leading junior staff
Proficiency in English, both written and spoken, is required to read and interpret documents, instructions, and manuals, as well as to communicate effectively
The ability to apply logical thinking to execute instructions and resolve problems is crucial
Applicants must be able to qualify for licenses and permits required by federal, state, and local regulations
The role requires regular standing, manual dexterity, and the ability to lift and/or move up to 50 pounds occasionally
The incumbent must also be able to perform duties in varying work conditions, such as confined spaces

Preferred

Master's degree in business administration (MBA) or related field
Experience in implementing new accounting systems or processes
Experience in a multinational organization or in an industry relevant to our company
Experience with database building or tracking extremely large amounts of data
