Community Services Program Coordinator (75% FTE)

Responsibilities
Plans, supervises, coordinates, reviews, and evaluates community services programs, activities, and services; establishes schedules and methods for providing community services; recommends improvements or modifications
Coordinates, and participates in the day-to-day operations of community services programs and/or facilities
Monitors program activities; identifies opportunities for improving service delivery and procedures; provides recommendations concerning process changes; reviews with appropriate management staff; implements improvements
Promotes assigned program through community outreach efforts including developing and maintaining information for the City website related to assigned program area
Recruits and selects part-time staff and volunteers to operate senior, adult, and youth recreation, sports, special events, performing arts programs, community education, facilities, and related programs and activities; provides supervision, training, onboarding, orientation, and guidance to assigned part time staff; prepares weekly and daily schedules; provides input and documentation for performance evaluations
Recruits and matches volunteers to program areas throughout the City, as assigned
Develops and sustains a network of collaborative partnerships with diverse community groups to promote, support, and expand assigned program
Identifies staff development and training needs; schedules and coordinates meetings and training programs for staff, coaches, and officials; prepares agendas and meeting packets and sets-up meeting rooms; monitors and assesses training to ensure staff is properly trained and certified
Plans, coordinates, promotes, and implements a variety of programs including recreation activities, sports leagues, City-wide special events, leisure time activities such as contract classes, cultural arts, senior activities, volunteer programs, and special sports events and parks programs; performs set-up, decoration, and tear down activities of special event sites
Acts as a representative to patrons and residents regarding questions, problems, concerns, and activities in the provision of community services program operations, activities, and services
Orders and purchases equipment, supplies, and materials; accounts for petty cash; submits receipts for reimbursement; collects, monitors, and approves employee hours worked and related payroll expenses; assists with the development and oversight of a program budget
Prepares and coordinates the development of publicity for special events and programs, including news releases, flyers, pamphlets, brochures, and announcements
Conducts periodic inspections of facilities; ensures areas of concern are addressed; communicates emergency issues that may arise at the parks and facility sites
Maintains accurate records of services and activities related to community services programs; prepares a variety of written reports, memoranda, and correspondence
Maintains files, databases, and records related to assigned area, and community services programs and participants
Represents the City in meetings with City commissions, community groups, and the public; attends professional workshops, seminars, and conferences
Ensures staff observe and comply with all City and mandated safety rules, regulations, and protocols
Coordinates with community stakeholder groups to provide training, evaluate types of services offered related to assigned program, foster partnerships for effective service deliver, develop materials related to assigned program
Ensure proper use of City equipment specific to the needs of the assigned program
Performs other related duties as assigned
Qualification
Required
Equivalent to a bachelor's degree from an accredited college or university with major coursework in recreation administration, public administration, human development, or a related field
Five (5) years of increasingly responsible experience coordinating comprehensive recreational programs or programs applicable to specific area of assignment
Possession of a valid California Driver's License, to be maintained throughout employment
Possession of, or successful acquisition within probationary period, a valid certification in American Red Cross CPR, First Aid, and AED, to be maintained throughout employment
Preferred
Possession of, or successful acquisition within probationary period, a valid Therapeutic Recreation certification, desirable
Possession of, or successful acquisition within probationary period, a valid Safe Food Handler certification, to be maintained throughout employment
Possession of, or successful acquisition within probationary period, a valid Lifeguard certification and Swim Instructor Certification, to be maintained throughout employment
Possession of a valid USA Gymnastics Membership and Safety certification desirable
Possession of a valid Certification as a Parks and Recreation Professional through the National Recreation and Park Association desirable
