Responsibilities

Performs and coordinates an office¿s administrative activities and ensures that information is disseminated to staff and clients
Supports management and higher-level staff whose frequent absence requires delegation of considerable administrative direction to a secretary or administrative assistant
Provides information to callers and visitors; assists with scheduling special events and projects
Performs a variety of secretarial duties necessary to run an organization effectively
Serves as an information clearing house for an office; schedules appointments; organizes and maintains paper and electronic files; composes and prepares correspondence; meeting arrangements; and utilizes computers to run spreadsheets, perform word processing, and database management
Conducts research, troubleshoots office systems or procedures for efficiency and accuracy, performs specialized clerical tasks relating to databases, desktop publishing, graphics, and internet search processes
Responsible for a highly controlled records management system that involves high volume and variety
Maintains a high degree of coordination between data processing and records management
Assists with answering telephones, routing calls, greeting visitors, providing information, and performing routine clerical tasks
Obtains and disseminates information, routes calls, and performs clerical tasks
May schedule appointments and perform more complex clerical, word processing, and filing tasks
Prepares reports and spreadsheets
Refers inquiries or visitors to an appropriate department or individual
Makes photocopies, stuffs envelopes, or records inquiries
Performs data entry, word processing, and other computer software applications; operates photocopiers, fax machines, and other office equipment; proofreads copies; sorts and distributes mail
Coordinates a clerical operation of a general nature
Operates switchboard systems handling incoming, outgoing, interoffice, and all long-distance calls coming through a state telephone exchange or large state agency
Maintains a record of long-distance calls, a log of service requests, and an up-to-date directory of state telephone extensions
Operates a dial back manual switchboard that services all state agencies or operates a telephone console servicing a large state agency with heavy telephone traffic
Trains relief operators, recommend changes and improvements to the switchboard or telephone operations procedures, and prepares related records and reports
Has substantive knowledge of agency policies and procedures and acts as a consultant in the switchboard area of emergency response measures
Enters information under prescribed guidelines, instruction, and supervision
Inputs lists of items, numbers, or other data into computers or complete forms that appear on a computer screen
May manipulate existing data (i.e., date sorts and searches), edit current information, or proofread entries for accuracy
Performs technical functions using specialized software applications and/or database design and management skills
Coordinates a data entry operation and provides training and technical assistance to less experienced staff

Required

Eighth grade education
Employment is subject to criminal background check pursuant to New Mexico Caregivers Criminal Screening Act
Must possess and maintain a valid New Mexico driver's license
Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification as a condition of continued employment
Successful completion of the Health Insurance Portability and Accountability Act (HIPAA) training
Must sign and observe confidentiality agreement
Must be able to read, write, speak, and comprehend the English language
Occasional travel for training & meetings and driving a State of NM owned motor vehicle may be required
Working hours may include weekends, holidays, overtime, and callback hours
