Responsibilities
Serve as the primary remote point of contact for customers—answer inquiries, manage appointment scheduling, confirm site access, and handle follow-ups to ensure high customer satisfaction
Manage CRM records and intake processes: create and update leads, log communications, prepare work orders, and route new jobs to estimating and field teams
Coordinate calendars and dispatches for production crews and inspectors; confirm onsite timelines and customer readiness to reduce no-shows and delays
Support billing and accounts: prepare invoices, track payments, process change orders, and collaborate with accounting to resolve client billing questions
Prepare and distribute client-facing documents—estimates, proposals, contracts, permits—and maintain document version control and storage
Drive process improvements for client onboarding and service delivery by tracking KPIs, reporting recurring issues, and recommending efficiency upgrades
