Office Manager/ Bookkeeper

IMPAG HR Solutions is seeking an Office Manager who will ensure the efficient operation of the business office while providing excellent customer service. The role involves managing administrative, financial, and customer service duties, fostering a positive environment for marina members and guests.

Human Resources

Responsibilities

Greet all customers, vendors, and guests, providing a welcoming and professional first point of contact
Answer phones and respond to emails in a timely and professional manner, addressing inquiries about services, rates, policies, and availability
Serve as a resource for current and prospective members, providing information and resolving questions or complaints
Aid/oversee office staff in maintaining a clean, well-kept marina office and facility
Manage and process accounts receivable and accounts payable, including slip rentals, fuel sales, and other services
Handle daily deposits, reconcile credit card, and cash transactions
Assist the accounting team and general manager with compiling data for financial reports and budget tracking
Assist department managers with new hire onboarding duties including pre-employment screens, assisting employees with various questions or concerns and directing them to the appropriate HR contact
Process and maintain all rental agreements and lease contracts for slips and storage
Prepare purchase orders, routine documents, and other forms of communications
Maintain accurate and up-to-date records for all marina tenants, waitlists, and vendors
Monitors policies & procedures for office activities such as filing, facilities maintenance, ordering of supplies and mail distribution
Order and maintain inventory of office and store supplies
Assist in scheduling and coordinating marina-related events
Offers support in various areas within the company including Business Office, Title Clerk, Parts & Service, and Sales departments
Enforce marina rules and regulations with diplomacy and tact
Maintain the security of the property by controlling access and following established procedures
Maintain open communications with all property and regional staff
Work closely with GM to develop an integral team that effectively represents the quality and professionalism of the company
Perform additional duties as assigned by management

Required

Proven experience in an office administrative or management role
Strong proficiency in Microsoft Office (Word, Excel)
Strong organizational and time management skills
Ability to manage multiple priorities effectively in a fast-paced environment
Exceptional customer service skills
Ability to handle a variety of inquiries and resolve conflicts
Ability to oversee office staff and delegate tasks
Excellent written and verbal communication skills
Dependable, punctual, and able to work independently or as part of a team
Flexibility to work weekends, holidays, or additional hours as needed, especially during the peak season

Preferred

Experience with marina management software (e.g., DockMaster, SpeedyDock)
