Office Administrator
Express Employment Professionals is seeking an experienced Office Administrator for a well-established CPA firm. The role focuses on managing billing, accounts receivable, and providing high-level administrative support while ensuring accurate and timely invoicing and client interaction.
Responsibilities
Manage and oversee the firm’s billing and invoicing process, ensuring accuracy and timeliness
Track accounts receivable and coordinate collections, including professional follow-up with clients
Partner with firm leadership and professional staff to ensure billable work is properly captured
Serve as a primary point of contact for client billing questions and payment inquiries
Provide senior-level administrative support to firm leadership and professional staff
Manage calendars, meetings, deadlines, and client appointments
Maintain organized client files, engagement documentation, and internal records
Support day-to-day office operations to ensure an efficient and professional environment
Assist with reporting and administrative tracking related to client engagements
Coordinate with vendors and external service providers as needed
Qualification
Required
3+ years of experience in a professional services firm (CPA, accounting, law firm, consulting, or similar)
Hands-on experience with billing and accounts receivable in a professional services environment
Professional, confident communication skills, particularly in client-facing billing discussions
Highly organized, detail-oriented, and able to manage multiple priorities independently
Proficiency with Microsoft Office
Preferred
Strong preference for candidates with CPA or accounting firm experience
Experience with practice management or accounting software is a plus
