Administrative Assistant

Pivotal Finance is an outsourced advisory, accounting, and tax firm based in Auburn, AL, serving small and medium-sized businesses. The Administrative Assistant will support the partner team by managing front desk responsibilities and executing various administrative tasks while ensuring a professional and hospitable environment for clients and guests.

Primary/Secondary Education

Responsibilities

Greet office visitors and direct them to the appropriate place
Answer phones in a polite and professional manner and direct the calls appropriately
Perform a variety of administrative and clerical support tasks, such as sending emails, copying, scanning, filing, record keeping, and ordering office supplies
Sort and distribute mail, ship packages
Schedule and organize in-person and virtual meetings and prepare meeting rooms
Help colleagues with clerical and administrative tasks as needed
Send and receive confidential documents through a secure link
Plan events throughout the year, both at the office as well as offsite
Work on special projects, as needed
Assists with marketing and social media for the firm
Work with the Auburn & Opelika Chambers to ensure Pivotal is ingrained in the community

Required

High School diploma required
Dependable with a professional demeanor
Strong attention to detail and focus on accuracy
Excellent customer service skills
Ability to multitask
Excellent phone, written, and verbal communication skills
Able to work independently and as part of a team
Excellent proofreading, grammar, and punctuation skills
Proficiency in Microsoft Office applications
Comfortable with technology and learning new software applications, such as workflow software and CRMs
Experienced with various office machines: multi-line phone, copier, scanner, fax, postage meter/scale

Preferred

Associate's Degree or equivalent experience is a plus
Basic Accounting knowledge is a plus
Prior receptionists experience a plus
Prior marketing experience a plus
Experience with marketing/social media management is a plus
