Responsibilities
Direct the daily functioning of the office pantry and hospitality program, including financial oversight, stock management, staff leadership, and upkeep of presentation and service quality. Monitor industry developments and periodically refresh offerings to enhance the employee experience
Drive planning and execution for internal events in partnership with colleagues across multiple business functions, including communications, technology, and security teams. Oversee vendor sourcing, negotiations, logistics, venue coordination, décor, and real-time troubleshooting. Provide additional support for employee-facing events at the direction of senior leadership
Serve as a thought partner on workspace configuration and seating strategy to ensure efficient use of office space and alignment with organizational needs
Administer departmental purchasing processes, approvals, and invoice workflows using the firm’s electronic payment platform. Contribute to annual budget preparation, track expenditures, manage accruals, and support periodic financial reporting
Provide day-to-day administrative assistance to senior leadership and the broader team, including calendar coordination, travel and expense processing, meeting logistics, and continuity planning support
Participate in insurance-related processes, including documentation, renewals, and claims coordination
Help oversee and track business subscriptions used across various internal groups
Support the development and maintenance of travel-related guidelines and operational procedures
Lead and coach front-of-house personnel to ensure a consistently high standard of service for employees, visitors, and external partners
Act as a primary liaison with property management to address office operations needs and maintain a well-functioning workplace environment
Qualification
Required
Bachelor's degree in a relevant discipline such as business administration, facilities operations, or a liberal arts field
Approximately 3–5 years of professional experience in a corporate or office-based setting
Highly organized and deadline-driven, with the flexibility to adapt quickly in a dynamic environment
Strong communication and relationship-building abilities, with experience collaborating across teams on shared initiatives
Comfortable operating in an open-plan office environment and supporting on-site operations
Willingness to work extended hours as business needs require
Demonstrated ability to juggle competing priorities from multiple stakeholders while delivering accurate, timely outcomes
Advanced proficiency in Microsoft Office applications (Excel, PowerPoint, Word, Outlook) and experience working with data visualization or reporting tools such as Tableau
