Data Quality Administrative Coordinator

Responsibilities

Answers telephone
Provides administrative support to an assigned division within the Authority
Collects and disperses MCO (Managed Care Organizations) faxes daily to authorization staff to be keyed
Ensures accuracy and validity of information to comply with statutory obligations
Maintains information management system
Collects and compiles statistical data to prepare monthly reports
Updates clients’ files, electronic health records and various tracking documents as needed
Maintains an inventory of office supplies and re-orders as needed
Prepares and submits reports for management as required ensuring compliance of all State and Federal regulations
Creates and compiles expenditure spreadsheets from invoices and verifies accuracy of invoices; reviews and submits reimbursement and refund requests
Prepares minutes of staff meetings and other meetings as required
Ensures appropriate forms are used by staff; maintains all manuals held by staff and supervisory levels; prepares and updates forms; maintains original packets
Maintains staff contact list including staff listings, email address book and website
Assists Authorizations Team members in providing training for clinical and administrative staff on The Comprehensive Billing Cycle
Performs special projects as assigned

Required

Intermediate skilled administrative support work experience
Ability to plan, monitor, and coordinate various programs and activities
Experience maintaining records and files
Experience preparing reports
Accurate and timely data entry of client information into electronic systems
Ability to answer telephone and provide administrative support
Experience collecting and dispersing MCO faxes
Ensures accuracy and validity of information to comply with statutory obligations
Experience maintaining information management systems
Ability to collect and compile statistical data for monthly reports
Experience updating clients' files and electronic health records
Ability to maintain an inventory of office supplies and reorder as needed
Experience preparing and submitting reports for management
Ability to create and compile expenditure spreadsheets from invoices
Experience preparing minutes of staff meetings
Ability to ensure appropriate forms are used by staff

Thorough knowledge of standard office practices, procedures, equipment and office assistance techniques
Thorough knowledge of business English, spelling and arithmetic
Thorough knowledge of the services provided by service agencies
Thorough knowledge of the demographics of the service area
Thorough knowledge of and ability to operate personal computers, associated software, hardware and peripherals
Ability to read and understand moderately detailed policies, procedures and job related materials
Ability to maintain detailed records
Ability to solve problems within scope of responsibility
Ability to establish effective working relationships with associates, agencies, medical personnel, law enforcement, vendors, clients and the general public
