Responsibilities

Manage an active calendar of appointments while ensuring executive member’s schedules are followed and respected. Keeping leaders well-informed of upcoming commitments and responsibilities will be a key priority
Compose correspondence, prepare presentations / reports, and handle information requests (often confidential in nature)
Arrange complex national and international travel plans, itineraries, and agendas; collect documents for travel-related meetings; coordinate on/off-site meetings/conferences
Provide an environment where seamless communications between executive members’ offices and internal teams is expected and carried out
Demonstrate leadership and diplomacy to maintain credibility, trust, and support with senior management and internal teams
Provide support with scheduling and handling logistics of Board and committee meetings, ensuring meetings go off without a hitch
Provide support with preparing and circulating materials for review prior to Board meetings; take notes and distribute following Board meetings and respond to inquiries from Board members
Complete expense reports, and process travel reimbursement requests
Prioritize multiple needs efficiently and follow projects through from start to finish with a keen sense of urgency

Required

Frequent need to shift priorities and quickly adapt to competing demands, while demonstrating the highest level of professionalism and efficiency in a fast-paced environment
Routine use of physical energy while carrying out job functions, moving about your workspace, working extended hours, etc
