Billing and Intake Manager
Sher Tremonte LLP is a dynamic and growing law firm specializing in complex civil litigation and criminal defense. They are seeking an experienced Billing & Intake Manager to oversee firm-wide billing operations and manage client intake and conflicts processes, ensuring accurate and timely billing and compliant matter management.

Responsibilities
Oversee attorney time entry, including review, cleanup, and compliance with client billing guidelines
Track and implement client billing policies and alternative fee arrangements
Coordinate pre-bill review with partners and firm leadership
Generate invoices, including LEDES-format billing
Submit invoices through client e-billing platforms; experience with CounselLink, Serengeti, and Legal Tracker preferred
Liaise with client finance teams and in-house legal personnel regarding billing procedures, new matter setup, timekeeper approvals, rate changes, and invoice submissions
Monitor accounts receivable and follow up on collections
Handle Criminal Justice Act (CJA) billing, as needed (experience preferred)
Run and analyze conflict checks, including related-party analysis
Assist firm general counsel with protocols for identifying and resolving potential conflicts
Implement and monitor ethical screens; familiarity with New York ethical rules preferred
Manage the opening process for new matters, ensuring accurate setup in the practice management system
Manage the closing process for completed matters, including closing letters and return of client documents and property
Draft, maintain, and track engagement letters, including developing and normalizing templates
Refresh firm policies and ensure internal compliance with intake, billing, and ethical requirements
Qualification
Required
Bachelor's degree
3–5 years of experience in legal billing, intake, conflicts, or law firm operations
Experience with attorney time entry review, pre-bill processes, invoice generation, and A/R follow-up
Proficiency with LEDES billing formats and e-billing systems
Strong organizational and analytical skills with exceptional attention to detail
Ability to manage multiple priorities independently in a fast-paced environment
Excellent written and verbal communication skills
High level of professionalism and discretion in handling confidential information
Preferred
Experience with e-billing platforms such as CounselLink, Serengeti, and/or Legal Tracker
Familiarity with client billing guidelines, alternative fee arrangements, and rate management
Experience working directly with partners, in-house legal teams, and client finance departments
Experience running conflict checks and managing matter intake and closing processes
Knowledge of legal ethics and conflicts procedures; familiarity with New York ethical rules
Experience implementing and monitoring ethical screens
Experience with Criminal Justice Act (CJA) billing
Experience with law firm practice management and billing systems
