Responsibilities
Review, verify, and code invoices ensuring accuracy, approvals, and compliance with company policy
Process 70-80 invoices a day
Enter, upload, and manage invoices within the ERP/accounting system
Prepare and process payments (checks, ACH, wires) in accordance with payment terms and management approvals
Monitor AP aging, resolve discrepancies, and proactively address past-due or disputed invoices
Reconcile vendor statements and serve as a professional point of contact for vendor inquiries
Maintain clean, audit-ready records to support month-end and year-end close
Manage vendor onboarding documentation including W-9s and required compliance records
Support internal and external audits by providing timely and accurate documentation
Partner with internal departments to resolve invoice and payment issues efficiently
Identify opportunities to streamline, improve, and automate AP processes
Take on additional responsibilities as the business grows
Qualification
Required
High school diploma required
5+ years of hands-on accounts payable or general accounting experience
Strong working knowledge of accounting systems/ERPs and Excel
Exceptional attention to detail and organization—accuracy matters here
Ability to manage deadlines independently in a fast-paced environment
Clear, professional communication skills with internal teams and external vendors
A mindset focused on ownership, accountability, and continuous improvement
Preferred
Associate's or Bachelor's degree
