Responsibilities

Proactively manage and optimize complex, high-volume calendars, anticipating needs and resolving scheduling conflicts
Maintain and oversee a master calendar incorporating leadership travel, key meetings, and departmental vacation schedules
Arrange comprehensive domestic and international travel, including flights, accommodations, ground transportation, and reservations
Prepare detailed travel itineraries and supporting documentation
Process timely and accurate expense reports through our internal system
Serve as a key liaison between executives, internal teams, and partners to ensure clear and effective communication
Prepare, edit, and compile polished PowerPoint presentations for senior leadership and broader business meetings
Coordinate all logistical aspects of meetings, interviews, and executive sessions, including conference room reservations, catering, and IT support
Organize, maintain, and manage confidential files and records for Vice Presidents
Process invoices and expenses through Accounts Payable and ExpenseVisor systems
Support ad hoc projects and special initiatives as required
Manage mail distribution and coordinate shipments in partnership with the mailroom

Required

5+ years of previous administrative assistant experience working with high level or multiple executives
Advanced Microsoft Office skills with an emphasis on Word, Excel and PowerPoint
Must be discrete due to exposure of highly confidential information
Ability to multitask and prioritize workload
Must have excellent organizational skills
Strong communication skills
Ability to work independently
