Scheduler (Legal Assistant 2)

The State of Washington's Board of Industrial Insurance Appeals (BIIA) is seeking a Scheduler (Legal Assistant 2) to coordinate judicial proceedings for judges. Responsibilities

Conducting telephone conferences to schedule and coordinate pre-hearing conferences/hearings with all parties, including hearings on motions, status conferences, and settlement/dismiss conferences
Making decisions within parameters directed by the judge, agency guidelines, established procedures, and applicable rules and laws to ensure events are set timely and efficiently
Reviewing case files or electronic files to identify the type of event, time needed, special needs, or other issues to be considered
Using independent judgment within parameters directed by the judge to determine if an event requires security, an interpreter, or a court reporter while considering cost efficiency
Using the case management system to prepare and send notices

Required

High School graduation or GED
Two years of experience as an Office Assistant 3, or equivalent (senior-level clerical). An AA degree or higher will substitute for the two years of experience
Knowledge of basic office procedures
Working knowledge of Word, Outlook, and data entry
Ability to manage calendars and scheduling preferences of 5+ judges
Ability to multitask phone calls and mailings throughout the day
Ability to handle multiple interruptions
Ability to handle emergency location/court reporter/interpreter/security issues
Ability to meet statutory time frames
Ability to maintain excellent attendance and be punctual and reliable
Ability to accurately enter data into databases
Ability to work as a member of a team and get along with co-workers
Ability to take direction
Willingness and ability to assist teammates/back up whenever necessary
Knowledge and understanding of basic legal terminology (i.e., motions, summary judgment, discovery, etc.)
