Responsibilities
Process vendor invoices and payments accurately and on time, ensuring all financial commitments are properly documented
Code and enter invoices, retrieve and organize electronic statements, and prepare weekly check runs and wire requests
Maintain complete and up-to-date vendor records, including securing and updating W-9 and banking information
Research and resolve invoice discrepancies in collaboration with vendors and internal stakeholders
Reconcile monthly credit card activity and manage employee expense report reimbursements
Support 1099 preparation and mailing
Assist the accounting team with special projects as needed, contributing to smooth and efficient financial operations
Qualification
Required
Strong attention to detail, reliability, and a high level of ownership over accuracy and record organization
Comfort working across multiple systems and handling confidential information with care and discretion
Clear, professional communication skills when working with vendors and colleagues at all levels
Enjoyment of a collaborative, fast-paced environment where books, ideas, and innovation matter
Excellent organizational skills, the ability to meet deadlines consistently, and a mindset focused on continuous process improvement
