Responsibilities

A Paralegal Specialist in the Circuit Administration Legal Office is responsible for a variety of legal and paralegal functions, which requires a thorough working knowledge of departmental structure and related legal activities
The person must also have the experience and knowledge to assist attorneys in the preparation and handling of cases
Prepares legal documents such as petitions, motions, notices and orders for the attorney's review and signature; assists the attorney with the drafting of said documents if necessary
Attends, trials, hearings, depositions and witness interviews as requested by the attorney; assists the attorney by taking notes and performs other duties as requested
Attends Court and writes down information regarding the cases on the docket
Schedules hearings and witness interviews for the attorney
Advises appropriate parties of upcoming hearings and keeps them informed of Court decisions
Acts as liaison with judicial staff, Department staff, other attorneys and their secretaries, law enforcement officers and agencies, doctors, nurses and other hospital personnel, mental health professionals, other agencies, the public and clients in a respectful and courteous manner
Prepares subpoenas for attorney's review and signature, forwards subpoenas to process server or appropriate law enforcement agency for service, and monitors and insures the timely service of process on witnesses
Opens case files, assists the attorney with maintaining case files and court calendars
Receives and routes telephone calls, answers basic questions regarding cases and provides general information to client and the public
Other duties as assigned

Required

Thorough working knowledge of departmental structure and related legal activities
Experience and knowledge to assist attorneys in the preparation and handling of cases
Ability to prepare legal documents such as petitions, motions, notices and orders for the attorney's review and signature
Ability to assist the attorney with the drafting of legal documents if necessary
Ability to attend trials, hearings, depositions and witness interviews as requested by the attorney
Ability to take notes and perform other duties as requested during court proceedings
Ability to schedule hearings and witness interviews for the attorney
Ability to advise appropriate parties of upcoming hearings and keep them informed of Court decisions
Ability to act as liaison with judicial staff, Department staff, other attorneys and their secretaries, law enforcement officers and agencies, doctors, nurses and other hospital personnel, mental health professionals, other agencies, the public and clients in a respectful and courteous manner
Ability to prepare subpoenas for attorney's review and signature
Ability to forward subpoenas to process server or appropriate law enforcement agency for service
Ability to monitor and ensure the timely service of process on witnesses
Ability to open case files and assist the attorney with maintaining case files and court calendars
