They are seeking an Appointment Setting Specialist to coordinate appointments directly with medical offices, ensuring members access timely care and navigate the complexities of healthcare scheduling.

Responsibilities

Schedule medical appointments by calling provider offices and coordinating with members on availability, urgency, and preferences
Navigate the realities of healthcare scheduling, including hold times, referral requirements, prior-auth dependencies, and clinic workflows
Confirm appointment details (date/time/location, provider name, visit type, required documentation) and share clear instructions with members
Follow up relentlessly and professionally to secure earlier openings (waitlists, cancellations, reschedules) when needed
Document everything accurately in our systems so the care team has clean handoffs and full visibility
Coordinate with internal teams (navigation, concierge, coaching) to ensure appointments align with the member’s broader care plan
Maintain a high standard of member experience: calm, clear, empathetic communication, even in complex situations

Required

2+ years of experience scheduling appointments with medical offices (provider office, referral coordination, patient access, concierge, or similar)
Strong phone skills and comfort with high-volume outreach (including long hold times)
Ability to understand and communicate scheduling requirements (referrals, visit types, insurance-related constraints, records requests)
Exceptional attention to detail and follow-through
Tech comfortable: able to track work in a CRM/ticketing system, spreadsheets, and scheduling tools
Professional, confident, and kind communication style

Preferred

Experience working in patient access, specialty practices, hospital/health system scheduling, or medical concierge
Familiarity with common workflows across specialties (primary care, cardiology, oncology, imaging, etc.)
Comfort supporting time-sensitive situations and escalating appropriately
