Responsibilities

Ensure the front office opens on time and is fully prepared for daily operations
Answer incoming calls and assist clients directly or route inquiries to the appropriate team member
Handle and/or direct inquiries related to bidding, invoices, payments, sales tax, shipping, post-sale offers, and potential consignments
On auction days, assist in-person bidders with paddle registration, absentee bids, and telephone bid requests
Process payments for walk-in clients
Schedule, manage, and monitor all client appointments
Coordinate property pick-ups and ensure items are prepared for timely release
Assist clients with condition report requests for upcoming auctions
Guide clients in navigating the Freeman’s website
Coordinate same-day courier services as needed
Support special events and auctions as required
Staff all previews when property is on display in the gallery
Manage office supply inventory for staff
Maintain a clean, organized, and professional conference area for client meetings, consignments, and pick-ups
Receive and distribute daily mail
Other duties as assigned

Required

Associate's or Bachelor's degree preferred
2–3 years of relevant administrative or concierge-level experience; experience in the arts or auction industry is highly desirable
Excellent interpersonal and communication skills, both in person and by phone
Strong client-service orientation with a polished, professional demeanor
Proven administrative skills with the ability to respond effectively to client and colleague inquiries
Availability to work on-site Monday through Friday
Exceptional organizational, communication, and interpersonal skills
Strong client service orientation with professionalism and discretion
Detail-oriented with excellent follow-up, multitasking, and time management abilities
Proficient in Microsoft Office applications (e.g., Word and Excel)
Able to thrive in fast-paced environments, work under pressure, and meet strict deadlines
Highly motivated and eager to contribute to a dynamic team
