Office Manager-Health Services (Internal)

The Office Manager will provide essential administrative support, manage daily operations, and collaborate with staff and vendors to ensure efficient health services operations.

Responsibilities
Develop and implement new office procedures as necessary to improve office flow and overall operations
Manage the daily operations including staff scheduling, cash reconciliation, charge entry, and operational checks and balances
Provide administrative support for daily operations of the practice
Assist with front desk duties to include scheduling, updating electronic health record, and patient verification of insurance
Collaborate with outside vendors, as appropriate
Order and maintain office supplies and equipment
Ensure compliance with personnel licensing and continuing education requirements for clinical personnel
Recruit, screen, hire and train staff and maintain personnel files
Communicate strategically to bring all student, provider, UIW community, and broader community issues, concerns, and/or requests to the appropriate person on a timely basis including but not limited to any potential risk management or quality control issues
Provide systematic and dependable follow up, as well as a high level of organization and preparedness
Coordinate Health Services programming for UIW , such as information fairs, health fairs, special events, outreach, and standardization of community presentations and promotions
Complete tasks on time. Use tracking tools to show progress and completion of business and administrative tasks
Provide sophisticated calendar management for Director of Clinical Health
Prioritize inquiries and requests while resolving conflicts with little guidance
Take notes/minutes and distribute meeting minutes, agendas and meeting packages
Arrange complex and detailed travel plans and itineraries, compile documents for travel-related meetings
Type memos, purchase requisitions, payment requests and other department forms and documents. Retain and maintain documents
Perform billing tasks, including generating bills, imputing EOB information, monitoring insurance and government payors for prompt receipt of money, create appeal documents and coordinate with the outside billing consultant
Serve as a liaison between patients and clinical staff and work toward ensuring efficiency and excellent customer service. Manage clinic grievances
Manage Health Services social media
Perform other duties as assigned
Create and manage data reports, to include quarterly volume and revenue reports
Create and maintain database and spreadsheet files
Provide electronic medical records (EMR) support for staff and providers, billing data analysis, and creation of reports
Provide EMR and billing follow up with billing agency to track denials, and balance billing
Maintain records, files, policies and procedures as required by American College Health Association (ACHA) Standards; revises same as indicated by Medical Director or ACHA accreditation
Manage CLIA Lab Certification management with staff
Completes credentialing and privileging for all providers in the clinic
Analyze monthly patient satisfaction survey data
Qualification
Required
High School diploma or equivalent
Three (3) years of medical assistant and EMR experience
Three (3) years medical office billing experience
Certification as a medical assistant
Ability and willingness to become a certified medical office manager within 2 years of assignment
High level of proficiency of Microsoft Office Suite and Excel
Ability to maintain a professional demeanor at all times
Must have high level organization skills
Ability to perform all duties in a manner that reflects the highest ethical and professional performance and communication
Adapt to and work effectively in a heavily bureaucratic environment which requires regular interaction with several levels within the organization and multiple outside regulatory agencies and vendors
Excellent communication skills; ability to effectively communicate information in a clear and understandable manner, both verbally and in writing
Ability to exercise sound judgment, discretion, tact, and diplomacy
Demonstrates effective time management skills and ability to multitask under pressure and meet deadlines
Effectively perform work of a highly sensitive and confidential nature that requires access to HIPAA and FERPA information
Ability to effectively train student learners
Ability to work effectively with individuals from diverse communities and cultures
Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA
Preferred
Some college related to a science degree
Ability to communicate effectively in the Spanish language
Three (3) years of experience in a university or health profession school setting
