Executive Assistant
Monique Helstrom is a values-driven, creative company specializing in interior design. They are seeking an Executive Assistant to support their Chief Visionary Officer & CEO, ensuring effective management of schedules, communications, and logistics while embodying the company's core values.
Responsibilities
Own a complex and ever-evolving calendars, ensuring high-priority work is protected and aligned with business objectives
Manage scheduling with a discerning eye, ensuring each meeting has purpose, value, and an agenda
Prepare Jenn before meetings with relevant briefs, research, context, and key talking points
Manage expense reports, professional licensing renewals, and other administrative tasks in collaboration with CID’s CFO
Maintain systems, documentation, and reliable processes that reduce friction and increase speed
Anticipate risks and proactively solve problems before they arise
Support high-quality written and verbal communication with a professional, caring tone
Manage Jenn’s email flow, prioritizing and filtering messages with discretion and excellent judgment
Research clients, partners, and meeting context as needed so Jenn walks in informed and prepared
Support high-touch stakeholder interactions (clients, partners, vendors, internal leaders), ensuring follow-through and a strong experience
Manage end-to-end travel logistics: flights, hotels, cars, itineraries, restaurant reservations, and emergency troubleshooting
Select design-forward accommodations aligned with CID’s hospitality aesthetic and brand
Track and advance key initiatives, ensuring follow-through on deadlines, decisions, and next steps
Roll up your sleeves on practical work when needed—examples may include spreadsheet clean-up, confirming addresses, coordinating shipping details, compiling lists, and supporting collaborative projects (including seasonal or marketing-related efforts)
Work closely with Jenn’s other support professionals; success in this role requires collaboration, humility, and a “team-first” mindset
Partner with the Culture & Events Team on internal company experiences and events
Qualification
Required
Prior Executive Assistant experience
6+ years of high-level C-suite Executive Assistant experience, including at least one experience with a CEO
Tech-savvy and AI-forward
Experience with Microsoft Office, Bluebeam, Salesforce, and AI-powered tools
Familiarity with EOS (Entrepreneurial Operating System) is a strong bonus
