Actus Consulting Group, Inc is supporting a global machinery manufacturer looking for a Customer Service Representative to join their U.S. team. This role involves acting as the primary point of contact between the U.S. office and headquarters, managing customer inquiries, and ensuring accurate order delivery.

Responsibilities
Act as the primary point of contact between the U.S. office and the company’s headquarters in Japan
Prepare and respond to RFQs, Purchase Orders, invoices, and shipping documents
Document all communications and transactions according to internal administrative procedures
Respond to customer inquiries via phone, email, and online meetings; provide accurate product information
Work closely with the General Manager to resolve customer issues professionally and promptly
Manage and track customer orders to ensure accurate and timely delivery
Assist with annual maintenance scheduling and follow-up activities (service records, invoices, quotes for replacement parts)
Gain basic knowledge of machinery products to direct inquiries to the appropriate team
Collaborate with Sales, Manufacturing, Service, and Engineering teams to provide seamless customer support
Maintain and organize accurate customer records and files
Assist with the transition to a new sales processing system
Qualification
Required
Previous customer service experience (machinery industry preferred)
Excellent written and verbal communication skills with a strong focus on customer satisfaction
Strong problem-solving skills and ability to resolve issues efficiently
Highly organized and detail-oriented; ability to manage multiple tasks
Comfortable working in a fast-paced environment with a high level of independence
Proficient in Microsoft Office (Excel & Word); SharePoint experience is a plus
Team player who thrives in a small-office environment
Availability: 4–6 hours/day, 5 days/week, with potential to transition to full-time
Administrative: 1 year (Preferred)
