Legal Operations Manager
Confidential is a top-rated law firm seeking a Legal Operations Manager to oversee firm operations and manage HR and payroll processes. The role involves supervising administrative staff, coordinating events, and ensuring the smooth daily operation of the firm while supporting partners and staff.
Responsibilities
Manage all aspects of HR, payroll and benefits administration
Supervise administrative staff and law clerks
Manage firm calendar, firm budget, monthly reporting, and backup bookkeeper as needed
Develop and coordinate process improvements
Reconcile bank accounts and reviews accounts payable
Orient new staff on office systems and firm practices; present new clerk classes
Manage, train, and troubleshoot on office systems, programs, and platforms
Prepare and participate in quarterly performance meetings
Manage inventory and building maintenance and troubleshoot IT and connectivity issues
Recruit, interview, and on-board new employees; off-board exiting employees
POC for third party vendors and service providers
Review and approve hourly staff time and submit payroll and benefits
Track PTO; manage benefit enrollments
Provide marketing and research to support firm growth and KPIs
Renew and ensure compliance with SBA and AEDC WOSB certifications
Coordinate firm activities and events
Manage social media plan and content pipeline
Research and submit malpractice renewals
Provide administrative support to partners and staff as need
Other duties as requested by firm partners
Qualification
Required
Minimum 5 years of experience managing a legal, medical or other professional office providing C-level administrative support
Minimum 2-year degree or equivalent combination of education, training, and administrative C-level support experience
Ability to maintain confidentiality in compliance with firm policies, professional rules of responsibility, and State/Federal privacy laws
Ability to prioritize and complete tasks accurately with close attention to detail
Excellent written, interpersonal, and verbal communication skills
Possess a customer service centric professional demeanor with the highest ethical standards
Technical aptitude and strong proficient user of MS Office (Word, Excel, Outlook & PowerPoint), QuickBooks Online, and Slack
Possess an aptitude for researching/gathering/monitoring and reporting data as well as assessing/solving problems
Able to take direction, work collaboratively in a team environment and be flexible to shift priorities
Preferred
4-year degree preferred
Bilingual language skills (English/Spanish) strongly preferred
Arkansas Notary Public or ability to obtain strongly preferred
