Sales Administrative Assistant

Hilton St. Petersburg Carillon Park is seeking a Sales Administrative Assistant to perform administrative functions in support of property sales leaders. The role involves answering calls, processing correspondence, and organizing records while ensuring effective communication with clients and relevant departments.

Responsibilities

Promptly answer telephone calls and communicate relevant account information to managers and departments
Type and process correspondence, proposals and contracts
Distribute memos, contracts, resumes, room requests and amenities to relevant departments
Politely and professionally converse with clients and respond to all inquiries
File and organize copies of contracts and correspondence ensuring records are up to date
Reserve and confirm rooms, meeting space, and banquet space when necessary
Follow sustainability guidelines and practices related to HHM’s EarthView program
Perform other duties as requested by management

Required

High School diploma or equivalent
Ability to promptly answer telephone calls and communicate relevant account information to managers and departments
Ability to type and process correspondence, proposals and contracts
Ability to distribute memos, contracts, resumes, room requests and amenities to relevant departments
Ability to politely and professionally converse with clients and respond to all inquiries
Ability to file and organize copies of contracts and correspondence ensuring records are up to date
Ability to reserve and confirm rooms, meeting space, and banquet space when necessary
Ability to follow sustainability guidelines and practices related to HHM's EarthView program
Ability to perform other duties as requested by management
Ability to work a schedule that varies and may include occasionally working on holidays and weekends
Ability to sit for extended periods, lift up to 10 pounds, bend, reach, use hands and fingers to operate keyboard
