Responsibilities

Manage complex scheduling, calendar coordination, and travel logistics for OGC leaders and front office executives to ensure seamless daily operations
Prepare for meetings by organizing agendas, gathering documentation, coordinating attendee logistics, and supporting post-meeting follow-up actions
Provide daily administrative support, including handling correspondence, managing files, and completing ad hoc tasks to maximize executive productivity
Proactively identify workflow inefficiencies and implement process improvements to optimize operations within the OGC and Front office
Serve as a reliable onsite point of contact, facilitating communication between Front office, OGC leadership and internal/external stakeholders, and ensuring uninterrupted in-person support
Accurate and Up-to-Date Calendars: Seamlessly managed executive schedules, reflecting current priorities, minimized conflicts, and timely updates for meetings, deadlines, and commitments
Comprehensive Meeting Support Materials: Well-organized agendas, pre-read documentation, attendee lists, and logistics arrangements delivered ahead of meetings, plus concise minutes and actionable follow-up notes post-meeting
Timely Administrative Outputs: Efficient completion of day-to-day tasks such as travel itineraries, expense reports, correspondence, file management, and other standard administrative requests. Workflow Enhancement Reports: Regularly identified process inefficiencies with documented recommendations and, where applicable, successful implementation of efficiency improvements
Stakeholder Communication Logs: Clear, professional records of communications and coordination, demonstrating proactive engagement and reliable follow-up with internal and external stakeholders
Onsite Support Evidence: Demonstrated presence and accessibility for in-person tasks—such as handling urgent requests, managing physical documents, or facilitating spontaneous meetings/briefings as needed

Bachelor's Degree
