Responsibilities

Assist the CEO by collecting, organizing, and preparing meeting materials
Consolidate, submit, and follow up on reports and information from internal departments and stakeholders, ensuring accuracy and timeliness
Organize, coordinate, and document formal corporate meetings led by the CEO
Prepare agendas, presentations, and supporting documentation
Draft and circulate meeting minutes, clearly noting resolutions, action items, and responsible individuals, and track progress to completion
Proactively coordinate and maintain the CEO’s schedule, meetings, and appointments
Manage filing and documentation for the CEO, ensuring confidentiality and accessibility
Provide comprehensive logistical and administrative support for the CEO’s day-to-day work
Arrange and manage logistics for CEO-involved external events—such as customer visits, regulatory meetings, and other official receptions
Prepare reception plans, coordinate meeting rooms, manage catering, and oversee all related administrative tasks
Organize and coordinate meetings during visits by the parent company’s directors
Provide Chinese–English interpretation and translation for meetings and official documents as required
Assist with administrative aspects of legal and compliance work, including organizing and tracking contracts, supporting communication with external legal counsel, and processing internal documents and procedures
Support the review and reporting of company plans, proposals, and management documents

Required

must be fluent in Mandarin and English
2–5 years of related experience as an Executive Assistant, CEO Secretary, General Manager Assistant, or similar
Strong bilingual communication skills (Chinese & English) with proven experience in written translation and verbal interpretation
Advanced proficiency in office software (Word, Excel, PowerPoint, Outlook); strong skills in document preparation, organization, and reporting
Willingness and flexibility to work overtime or outside standard hours as necessary
Experienced in organizing, leading, and documenting corporate meetings; able to independently handle all relevant tasks
Strong skills in collecting, structuring, and summarizing information; meticulous and focused on key details
Able to efficiently multitask and prioritize in a fast-paced environment
Maintains strict confidentiality and demonstrates exemplary professional ethics

Preferred

Bachelor's degree or above; specialties in Administration, Business, Law, or Public Relations preferred
