Responsibilities

Provide ongoing technical support for FAIS and other financial aid software; troubleshoot and resolve system issues
Manage relationships with third-party vendors: select vendors, coordinate software implementations, manage contracts and upgrades, serve as vendor liaison for issues, updates, and new modules
Evaluate vendor-provided solutions and coordinate testing, deployment, and documentation of updates or new software
Evaluate current workflow opportunities to automate manual processes (e.g., data validation, packaging logic, notifications, reporting)
Design, develop, or coordinate development of custom tools, scripts or AI-driven solutions to streamline operations and improve data accuracy
Stay current with emerging technologies, recommend adopting new tools or platforms, and pilot proof-of-concept or implementations as appropriate
Manage and maintain financial-aid related website(s), student portals, online application forms, and web-based communications
Ensure web systems are secure, accessible, integrated with backend databases (SIS/CRM/FAIS), and updated with current content
Coordinate with campus IT or web development teams (or external vendors) to implement new web features, portals, or integrations
Oversee secure and accurate financial aid data across FAIS, SIS, CRM, and other systems
Manage and implement data integrations, automated data transfers, and synchronizations between systems to support packaging, disbursements, reporting, and compliance
Ensure data integrity, implement controls, monitor data flows, and produce necessary reconciliation processes
Design and maintain reports and dashboards that provide insights into financial aid operations (awards, disbursement, eligibility, trends, forecasting)
Develop custom reports for financial aid staff, institutional leadership, and regulatory reporting as needed
Leverage analytics to identify trends, process bottlenecks, and opportunities for improvement
Ensure that all technology systems used by the Financial Aid department comply with federal, state, and institutional regulations (e.g., data privacy, FERPA, Title IV where relevant)
Work with the institution’s IT/security team to implement and maintain security protocols, access controls, encryption, audit logs, backups, and disaster recovery
Maintain documentation for audits, vendor compliance, system configuration, and access permissions
Plan and manage technology projects (system upgrades/migrations, web portal launches, automation initiatives), including timelines, stakeholder communication, testing, training, and go-live support
Document configuration changes, system modifications, and new workflows; ensure version control, rollback procedures, and user documentation
Provide or coordinate training for financial aid staff on new systems, tools, web applications, and processes, update documentation and user guides accordingly
Work closely with campus IT, Admissions, Registrar, Business Office, and other departments to ensure seamless data flow and process alignment
Serve as a liaison between non-technical financial aid staff and technical teams/vendors translating business requirements into technical specifications and vice versa
Provide excellent support and communication to financial aid staff, ensuring that technology changes enhance rather than hinder their work
Monitor industry trends in financial aid technology, higher-ed compliance tools, and data automation/AI; and recommend adoption as appropriate
Periodically review and assess existing processes and systems; propose enhancements to improve efficiency, accuracy, security, and user experience
Lead or participate in strategic planning for the Financial Aid department’s technology roadmap

Required

Bachelor's degree preferred in Computer Science or related field; degree requirements can be waived for 10+ years of equivalent work experience
Proven experience supporting financial aid systems and technology, including experience with FAIS or similar platforms
Strong knowledge of data management, system integration, and reporting tools
Familiarity with federal and state financial aid regulations and compliance requirements (e.g., Title IV, FAFSA)
Excellent problem-solving skills with the ability to troubleshoot technical issues related to financial aid systems
Strong communication skills, both technical and non-technical, to effectively work with cross functional teams and end-users

Preferred

Experience with ERP systems (e.g., Ellucian Colleague/Banner, PeopleSoft, Jenzabar, etc.) and financial aid-specific tools
Familiarity with reporting tools such as Microsoft Power BI, Tableau, or other analytics software
Knowledge of programming languages, scripting, or automation tools for process improvement
Experience with data security and privacy regulations related to student financial data (e.g., FERPA, PCI DSS)
