Gift Processing Specialist

Responsibilities

Review donation and payment batches to ensure documentation meets GAAP, IRS, and UWMD requirements and contains all information necessary for accurate processing
Research donors and company giving history to determine appropriate coding, designation, and revenue alignment
Proactively access third-party portals and platforms to retrieve missing or required donation documentation
Compile, sort, and format spreadsheets to prepare donation data for import and posting into the CRM system
Enter donation and payment data through manual entry and imports, ensuring accuracy and reconciliation to control totals
Investigate and resolve system errors, rejected items, and discrepancies within the processing workflow
Escalate issues and discrepancies to appropriate leadership and stakeholders in a timely manner
Complete all assigned month-end closing activities by established deadlines
Participate in the team rotation for processing incoming organizational mail
Maintain and update company and donor processing profiles to support future accurate entry
Collaborate with Resource Development and other teams to obtain gift agreements, donor intent documentation, and required approvals
Support other processing, data quality, and system improvement initiatives as needed
Provide responsive, accurate customer service to both internal and external stakeholders
Handle all donor and financial information with strict confidentiality and care to reinforce donor trust

Required

Exceptional attention to detail with strong organizational, data management, and quality control skills
Ability to manage multiple priorities and deadlines in a fast-paced, high-volume environment
Proficiency with CRM systems and Microsoft Excel (sorting, filtering, formulas, lookups)
Strong written and verbal communication skills
Demonstrated commitment to delivering a positive and professional donor experience
Strong interpersonal skills and ability to collaborate across teams
Self-motivated, proactive, and solutions-oriented with sound judgment
2–4 years of relevant experience in fundraising support, donor relations, or data management

Preferred

Bachelor's degree preferred, ideally in nonprofit management, business administration, communications, data analytics, or a related field. Equivalent professional experience will be considered
Experience in nonprofit operations is preferred
Familiarity with donor databases or CRM systems (e.g., Microsoft Dynamics, Salesforce, Raiser's Edge) is highly desirable
Proficiency with tools such as Excel, and data reporting platforms (e.g., Power BI) is a plus
