Academic Planning & Institutional Effectiveness Coordinator (Internal Candidates Only)
Virginia Commonwealth University is seeking an Academic Planning and Institutional Effectiveness Coordinator to provide comprehensive administrative, budgetary, and data support for the Office of Academic Planning and Institutional Effectiveness. The role involves managing office operations, maintaining key office systems, and supporting the Vice Provost in various administrative tasks.

Responsibilities
Manages the calendar, scheduling, and travel arrangements for the Vice Provost
Coordinates the logistics for high-level meetings, including accreditation site visits
Prepares materials, agendas, and minutes for key meetings
Manages the departmental budget, processes all travel reimbursements, and purchases
Maintains all official office records and archival files, including final copies SACSCOC reports
Assigns help desk tickets to the appropriate responsible party
Manages the logistics of academic program review
Assists the Compliance & Licensure Specialist by compiling licensure disclosure updates
Assists the Director of Institutional Effectiveness with adding and removing users from Watermark Planning and Self-Study and ensuring users have access to the appropriate workspaces
Assists the SCHEV liaisons by formatting proposals and appendices, tracking program proposal status, and mailing and submitting hard copy documents to SCHEV
Maintains the Academic Planning and Institutional Effectiveness website, ensuring all content is current
Develops and disseminates the unit’s annual report as well as its information guide for associate deans
Qualification
Required
Demonstrated ability to work in and foster an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do so as a staff member at VCU
Bachelor's degree in Business Administration, Communications, or a related field; or an equivalent combination of education and professional experience
3–5 years of executive-level administrative support, preferably in a higher education or complex institutional setting
Proven experience managing departmental budgets, processing reimbursements, and handling procurement/purchasing workflows
Demonstrated ability to manage complex logistics for high-stakes events, such as accreditation site visits or academic program reviews
Advanced skills in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with CMS (Content Management Systems) for website maintenance
Ability to handle sensitive institutional data and confidential personnel records with the utmost integrity
A high degree of self-motivation to track multiple 'moving parts,' such as the status of long-term program proposals
Preferred
Master's degree from a regionally accredited college or university with 1-3 years of professional experience
Familiarity with Watermark Planning and Self-Study or similar institutional effectiveness platforms
Understanding of SACSCOC accreditation standards and SCHEV (State Council of Higher Education for Virginia) program proposal processes
Familiarity with core VCU administrative systems, including but not limited to: Chrome River, VCU RealTime, and Ellucian Banner, among others
