ADMINISTRATIVE ASSISTANT I - NCCER & WORKFORCE PROGRAMS
Del Mar College - Corporate Services is seeking an Administrative Assistant I to provide direct administrative support to the department, its staff, clients, students, and faculty. The role involves preparing budget reports, managing supplies, assisting with room reservations, and supporting various events and marketing efforts.
Responsibilities
Prepare reporting for industrial credentialing programs, departmental budgets and revenue reports
Monitor budget expenditures for consumable goods and process requisitions for the department
Order supplies and materials for classroom instruction and lab performances; manage and department P-Card reconciliation reports
Assist Building Coordinator (Workforce Development Center)
Coordinate room reservations and room configuration for meetings and trainings with college’s IT and physical facility departments; monitor building cleanliness and maintenance
Manage student inquiry spreadsheet for upcoming course offerings and update course completions
Send course information to prospective students
Track and report student credentials and certifications
Prepare for internal and external audits
Gather, analyze, and respond to RFI for grant funded programs for Texas Workforce Commission (TWC), and National Science Foundation (NSF) and industrial credentialing programs for NCCER, AWS, AED, ASE, and NAPTA reporting
Assist Director to schedule on site visits and tours to customers to cultivate additional business
Schedule and prepare business meetings; prepare meeting agenda and materials
Assist Director with marketing/advertisement projects and special events
Coordinate special events by working with staff and vendors, researching and verifying information, requesting materials and supplies, collecting information, and ensuring event is successful
Track and maintain NCCER credentialing requirements
Schedule NCCER site visits for audits, maintain instructor credentials
Proctor exams and provide support to instructors as needed
Qualification
Required
Associate's degree •AND• one year (1) year of administrative support related experience
OR- Three (3) years of administrative support related experience
Strong verbal and communication skills
Proficient in MS Office Excel, Word, Outlook, PowerPoint, Publisher and Canva
Customer service oriented a must
High degree of accuracy maintaining records and attention to detail
Ability to maintain confidentiality
Excellent organizational and time management skills
Event promotion and planning experience
Preferred
Related work experience in education or industrial environment
Bachelor's degree in business or related field
