Special Assistant to Chief Executive Officer

The Special Assistant to the CEO is responsible for managing the CEO's calendar, travel logistics, and operational tasks, ensuring smooth organizational operations and supporting strategic initiatives.

Responsibilities

Calendar management: Own the CEO's calendar with extreme precision; manage complex scheduling with leaders from all over the country including university leaders, funders, board members, and treasured partners
Travel management: Coordinate flights, hotels, ground transportation, detailed itineraries; handle last-minute changes
Expense and reimbursement management: Process CEO expenses accurately; ensure proper documentation
Event logistics/contracting: Coordinate event logistics, vendor contracts, and documentation
Document prep/signatures: Prepare documents for meetings, coordinate contract signatures, track deadlines
Personal support: Manage home vendors, personal travel, personal events as needed
Project management: Lead assigned projects; coordinate meeting preparation including agendas and briefing materials
Serve as primary Google Workspace administrator
Own contract signature workflows
Act as point of contact for privacy, contract, and legal inquiries
Lead new employee onboarding to company systems and tools
Manage website contact form responses
Coordinate organizational meetings with invites, agendas, and follow-up
Continuously systematize and optimize processes; maintain operational documentation
Own all compliance requirements including compliance filings, nonprofit annual reports, state registrations
Ensure timely completion of yearly and quarterly filings
Support finance reconciliation including CEO expenses and reimbursements
Manage banking transactions
Support grant payment processing
Identify opportunities for systemizing financial processes
Serve as point of contact for organizational tools
Evaluate tools, make purchasing decisions, manage vendor relationships
Primary contact for legal communications and payment coordination
Manage employee benefits through selected vendor
Coordinate annual open enrollment
Research new benefit options
Support payroll processing through Gusto

Required

Proficient with AI tools—regularly use ChatGPT, Claude, or similar tools to work efficiently
