Responsibilities

The Position will be the main reception and communications person for the office
This will be the first person whom visitors and clients meet when they enter the office, and this will be the person responsible for answering the company’s phone, as well as receiving mail, fax, and general emails with the responsibility of organizing and delivering communications to the appropriate personnel
The role will be primarily responsible for keeping track of and coordinating the company’s general calendars as well as the calendar of the Company’s President, Vice-President and other key personnel
The Office Assistant will take great care not only to maintain the calendar, but to resolve scheduling conflicts and remind key personnel of important calendar events
The Position will be responsible for the organization and up-keep of the office
Such tasks will include being responsible for unlocking and locking doors, controlling alarm systems, controlling the office’s hvac system, controlling the office’s media systems, and organizing and maintaining the office’s supplies
This will also include oversite and upkeep of storage closets and the office kitchen
Key supporting role to the Company’s President and Vice President
The main tasks will be in performing a variety of both business and personal tasks to keep the Executives able to maintain their focus on business operations, and 'on-the-go' in a fast-paced work environment
The Executive Assistant will be asked to cross-train with the Administrative Assistant and the Office Manager to learn the core functions of their duties and responsibilities
The Executive Assistant’s primary function is to assist the President and Vice-President of the Company with a variety of professional and personal tasks to allow these individuals to function in 'on-the-go' type roles
The Executive Assistant also serves as the receptionist and initial point of contact for the office by greeting visitors, answering the phone, monitoring general mailboxes and e-mail serves, directing correspondence, and maintaining filing systems
The Executive Assistant will be asked to cross-train with the Assistant Project Manager to learn the core functions of the Assistant Project Manager’s job duties and responsibilities
The Assistant Project Manager reports directly to the Project Manager, and has cross-reporting to the General Superintendent and the Equipment Manager
The Assistant Project Manager supports these three roles directly with high level knowledge of each of their job duties and responsibilities
The Executive Assistant will see immense overlap with handling both business operations and personal matters for the Company’s President and Vice-President
These duties may include helping with personal calendar’s, filing systems, accounts, errands, and family matters
Specific tasks may included balancing personal financial accounts, paying personal bills, running personal errands, and monitoring personal and professional licenses and credentials
In addition to performing the Primary Job Duties for both the Company’s business purposes and the Executives personal matters, the Executive Assistant will also assist the Executive’s with certain extracurricular organizations such as Churches, Charitable Organizations, Community and Professional Organizations, and personal sports team organizations

Trustworthiness. Above all else, the person filling this role must have the highest level of discretion and integrity. The Position will have access to sensitive company and personal information and must maintain the strict level of confidentiality and professionalism
Multi-Tasker. This Position will require someone who is comfortable juggling multiple priorities and shifting between roles and responsibilities
Organized and Detailed. This role requires a person who is exceptionally organized and detail-oriented. This skillset will allow the person to manage multiple personalities and a variety of tasks on a daily basis while being self-responsible to complete tasks in a timely and efficient manner
Pro-Active. The ideal Executive Assistant will be pro-active and self-motivated such that they are able to anticipate needs and complete daily tasks without supervision or oversight
Computer and Tech Savvy. Ability to efficiently use computer programs such as Adobe Acrobat and Microsoft Office as well as the ability to effectively navigate web browsers such as Chrome, Safari and Edge and to use cloud computing systems such as Microsoft SharePoint or Google Drive. Additionally, the ability to operate, troubleshoot, and manage technology such as printers, televisions, projectors, etc
Professional Writing. Strong professional writing skills to allow for proficient editing and proofreading of documents
Humbleness. This position will require someone who is able to perform any task, no matter how small or un-important it may seem, with a humble attitude which allows them to respect the importance of routine tasks keeping the office and the Executives operating productively and efficiently
Confidence. Must able to work and communicate confidently and professionally in a fast-paced environment
