Office & Accounting Coordinator

Kibler Construction is seeking a highly organized, professional Office & Accounting Coordinator to support their administrative and accounting operations at their Dania Beach headquarters. This role involves being the first point of contact for the company and managing various office and accounting tasks to ensure smooth daily operations.

Responsibilities

Greet and assist clients, vendors, and subcontractors professionally
Manage incoming calls, mail, and general office inquiries
Maintain a clean, organized, and professional office environment
Order office and breakroom supplies and coordinate team lunches
Schedule meetings, appointments, and conference rooms
Assist leadership with documents, correspondence, and meeting materials
Organize and maintain physical and electronic filing systems
Assist the Controller with administrative accounting tasks
Verify subcontractor documentation (lien waivers, insurance, W-9s, compliance forms)
Coordinate subcontractor check releases once requirements are met
Maintain organized subcontractor and financial records

Required

Minimum of 1 year of experience in office administration, office management, or accounting support
Strong organizational skills and attention to detail
Professional written and verbal communication skills
Proficiency in Microsoft Outlook, Word, and Excel
Ability to handle confidential information with discretion
Experience working in a deadline-driven, in-office environment
This position is primarily office-based. Occasional lifting of up to 25 pounds (such as office supplies or documents) may be required. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions

Preferred

Bilingual (English/Spanish)
Experience in construction, contracting, or trades
Familiarity with subcontractor documentation and lien waivers
