The Plastic Surgery Center is seeking a highly organized Office Manager / Surgical Coordinator / Administrative Assistant to support its fast-paced medical and surgical practice. This role involves overseeing daily operations, managing schedules, coordinating surgical logistics, and providing high-level administrative support while ensuring exceptional patient experiences.

Responsibilities

Oversee daily office operations to ensure efficiency, professionalism, and exceptional patient experience
Coordinate and manage office staff schedules, ensuring appropriate coverage for long clinic days and extended hours
Guide, support, and mentor staff; assist with onboarding and training
Address staff challenges and conflicts proactively and professionally
Ensure compliance with office policies, procedures, and best practices
Manage complex personal, clinical, and surgical calendars with precision and foresight
Coordinate physician clinic days, surgical days, meetings, and external commitments
Anticipate scheduling conflicts and proactively resolve issues before they arise
Manage changes efficiently in a high-volume, dynamic environment
Coordinate surgical schedules with hospitals, surgical centers, and external providers
Serve as a point of contact between patients, surgeons, hospitals, and internal teams
Manage pre-operative and post-operative logistics and communication
Maintain oversight of insurance authorization and clearance processes to ensure cases are fully approved prior to surgery
Provide high-level administrative support to leadership
Communicate professionally and effectively with external partners, vendors, hospitals, and boards
Manage affiliations with hospitals, outside boards, and professional organizations
Handle sensitive and confidential information with discretion
Assist the research department with clinical studies as needed
Support coordination, documentation, scheduling, and communication related to studies
Demonstrated experience with insurance processes, including verification and coordination
Work collaboratively with billing and administrative teams to support patient and practice needs
Assist with coordination for international patients and clientele
Familiarity with international travel, including flight coordination and scheduling considerations
Demonstrated ability to work with individuals from diverse cultural backgrounds with professionalism, warmth, and sensitivity

Required

Previous experience in a medical office management, surgical coordination, or executive administrative role (required)

Polished, friendly, and professional demeanor
Ability to manage long clinic days and occasional evening hours
