Office Administrator & Reception Coordinator

The Office Administrator & Reception Coordinator will provide essential administrative support, ensuring efficient office operations and a positive experience for visitors and callers.
Employment
Responsibilities
Greet and assist visitors; answer and route incoming phone calls professionally
Manage daily mail, including collection, organization, and distribution
Coordinate office supply inventory and communicate with vendors
Assist with office service renewals and supplier correspondence
Process and send checks and payment documentation to headquarters; maintain accurate paper files
Support purchase order (PO) creation and invoice processing
Create, organize, and maintain filing systems
Record and distribute minutes for monthly meetings
Review documents for completeness and accuracy
Perform additional administrative duties as assigned
Qualification
Required
Strong attention to detail and accuracy
Excellent organizational and time management skills
Ability to work both independently and as part of a team
Flexibility and adaptability in a fast-paced environment
Professional, courteous communication with coworkers, customers, and partners
Preferred
Previous administrative or secretarial experience
Proficiency in Microsoft Office (Word, Excel, Outlook)
Experience with additional office software is a plus
Proven customer service experience
Strong verbal and written communication skills
