Responsibilities
Venue research, site visits, and contract negotiations
Build relationships with and collaborate with vendors to accomplish specific image, budget, and décor goals of events: lighting, flowers, catering, photography, videography, production, etc
Onsite coordination of events including the management of on-site set-up, production and clean-up for events as necessary
Generate event logistics documents including, Run of Shows, staffing plans, photography shot lists, Invitations letters list, RSVPs lists, etc
Coordinate support and training of event volunteers and staff
Ensure attendee records are properly recorded, maintained, and managed in website and CRM system
Create individual event budgets and work with vendors
Ensure brand consistency across all external communications
Creation and coordination of events printed and electronic materials including programs, speaker bios, digital signage, etc.…
Design or oversee the creation of visual assets (flyers, banners, graphics, etc.) in line with brand guidelines and Chamber Services
Creation of Sponsorship packages for every event
Track analytics and KPIs to evaluate performance and refine strategies in the campaigns and events
Work on other projects and tasks assigned
Qualification
Required
2-4 years of experience in event planning and marketing
Excellent oral and written communication skills in English and Spanish
Proactive, detail-oriented, and thrives in a fast-paced, collaborative environment
Positive, focused and responsible highly motivated professional team player
A flexible mindset and ability to adapt to a changing environment with tight deadlines
Collaborative spirit, with a passion for international business and cross-cultural connection
Proficient in office and design tools
Word, Excel, PowerPoint, Outlook, Planner
Adobe Suite, Photoshop
Knowledge of content and emailing tools to
CRM/email platforms (Zoho, Hubspot, ConstantContact, Mailchimp)

Preferred
Bachelor's degree in business, marketing, communications preferred
A master's degree is a plus
